Macey Industrial Fixing, based in Hailsham, East Sussex, recently approached My Tech Team to help modernise their IT setup and prepare the business for the move to Windows 11.
Like many established businesses, their technology had grown over time. Some systems were still running on older hardware and software, while other services had been added over the years without always being reviewed against the current needs of the business. With Windows 11 now becoming an important consideration for business devices, it was the right time to review their setup properly and make sure the business was ready for the future.
For any organisation still reviewing device suitability, our article on Windows 11 hardware requirements explains what businesses need to check before upgrading.
The Challenge
The project involved several key areas.
Firstly, the business had outdated hardware that needed to be reviewed and upgraded so the team could continue working reliably and securely. With older devices becoming less suitable for modern operating systems and software, Macey Industrial Fixing needed a clear plan for replacing or upgrading equipment without causing unnecessary disruption.
Secondly, the business was using a local installation of QuickBooks. While this had worked historically, it created limitations around access, backups, flexibility and long-term support. Moving to QuickBooks Online gave the business a more modern, cloud-based finance system that is easier to access, manage and support.
This is a common stage for many businesses. Local applications and older systems can work well for years, but they eventually become harder to support, protect and recover. Our guide to cloud backup for small business explains why older local software and on-site systems need to be reviewed carefully as part of business continuity planning.
The third part of the project involved their phone system. Like many businesses, they had been placed onto an expensive subscription-based hardware arrangement. This type of setup can often appear convenient at first, but over the length of a contract, businesses can end up paying far more than the hardware is actually worth.
We see this regularly. A business signs up to a telephony service and is then locked into a lease or rental agreement for hardware that they may not even own at the end of the contract. In some cases, the total amount paid over the contract term can be many times higher than buying the equipment outright.
What We Did
We worked with Macey Industrial Fixing to review the existing setup and identify the best route forward.
The project included:
- Reviewing and upgrading outdated hardware in preparation for Windows 11
- Replacing older systems that were no longer suitable for the business
- Migrating from a local QuickBooks installation to QuickBooks Online
- Reviewing the existing phone system and associated costs
- Moving the business away from an expensive subscription-based hardware model
- Supplying phone hardware as a one-off purchase at a fraction of the long-term contract cost
- Ensuring the new setup was easier to manage and support going forward
The goal was not simply to replace old technology with new technology. The aim was to make the business more secure, more flexible and more cost-effective.
This kind of project is a good example of why businesses benefit from having an outsourced IT department that can look across devices, software, cloud services, suppliers and phone systems as one joined-up setup.
Why the QuickBooks Migration Mattered
Moving from a local QuickBooks installation to QuickBooks Online was an important part of the project.
Local software installations can create challenges for growing businesses. They are often tied to a specific machine, harder to access remotely and more dependent on local backups. If the device fails or the data becomes corrupted, the business can be left exposed.
By moving to QuickBooks Online, Macey Industrial Fixing now has a more modern accounts platform that is easier to access, easier to back up and better suited to the way businesses work today.
For many businesses, cloud-based systems form part of a wider modernisation plan. Our cloud management services help businesses move away from older local systems and into more flexible, secure cloud platforms.
Reviewing the Phone System
The phone system review also delivered a clear benefit.
Telephony contracts can be difficult to understand, especially when hardware, call plans, support and lease agreements are bundled together. Businesses may think they are paying for a simple phone service, but a large part of the cost can relate to hardware rental or leasing.
In this case, we were able to move Macey Industrial Fixing to a more sensible hardware model, allowing them to purchase the required equipment outright rather than continue paying inflated subscription-based hardware costs.
This gave the business more control and reduced unnecessary long-term spend.
At My Tech Team, we regularly help businesses review not just their computers, but also their internet, phone systems, cloud services and software suppliers. Our IT support services for Sussex businesses are designed to bring these areas together so nothing falls through the cracks.
The Outcome
Macey Industrial Fixing now has a more modern and future-ready IT setup.
Their systems are better prepared for Windows 11, their accounts platform is cloud-based, and their phone hardware costs have been brought under control.
The project has helped reduce unnecessary complexity while improving reliability, flexibility and long-term value.
For a business like Macey Industrial Fixing, this kind of review is not just about IT. It is about making sure the technology supports the business properly, without hidden costs, outdated systems or avoidable risks.
What Other Businesses Can Learn From This
This project is a good example of why businesses should regularly review their IT, software and telecoms contracts.
Many companies are still using systems that were put in place years ago and have not been reviewed since. In some cases, they are paying for services or hardware arrangements that no longer represent good value.
With Windows 11 now an important part of IT planning, businesses should review:
- Whether their computers are Windows 11 ready
- Whether key software is still supported
- Whether local applications should be moved to cloud-based alternatives
- Whether phone contracts and hardware agreements still offer good value
- Whether their current IT setup is helping or holding the business back
Our article on Windows updates becoming faster and less disruptive explains why keeping devices updated and supported matters for everyday business productivity.
