A phone system tends to get attention only when it lets the business down: a customer cannot get through, a key call drops, or a member of staff has no way to answer while working away from the office. When weighing up VoIP versus traditional landlines, the right answer is rarely just about the monthly bill. It is about how your team works, what happens during disruption, and whether your communications can keep up with the business.

For many small businesses in Sussex, the question has become more urgent as the UK moves away from older analogue telephone services. A change made in good time can improve flexibility and reduce avoidable costs. A rushed change, without checking connectivity, equipment and failover arrangements, can create a new set of problems.

VoIP versus traditional landlines: the practical difference

A traditional landline carries calls over a dedicated telephone network. Older systems may use analogue lines or ISDN services, with a physical phone line connected to each site. They have long been familiar and, in many cases, dependable. However, the infrastructure behind these services is being retired. Openreach plans to withdraw the old Public Switched Telephone Network by January 2027, so businesses still relying on older phone lines need a clear migration plan.

VoIP, short for Voice over Internet Protocol, sends calls through your internet connection instead. Your business number is managed through a cloud phone platform, and staff can take calls using desk phones, headsets, laptops or mobile apps.

That does not simply mean replacing a handset. It changes what the phone system can do. Calls can ring on several devices, transfer between colleagues, follow staff working remotely, and be managed centrally without an engineer needing to visit every time a user or extension changes.

Cost: look beyond the line rental

Traditional systems often involve line rental, call charges, maintenance arrangements and separate costs for adding or moving extensions. For a business with one fixed location and very simple call needs, those costs may be manageable. But they can become awkward when a team grows, moves premises or needs people to answer calls from different locations.

VoIP usually works on a per-user or per-feature monthly basis. UK, mobile and international call costs can also be more predictable, depending on the package. Adding a new user is normally quicker than arranging another physical line, while number changes and call routing can often be handled remotely.

The comparison is not always one-sided. A VoIP system needs suitable internet connectivity, compatible handsets where required, and proper setup. If your broadband is slow, shared heavily with other services or unreliable, improving that connection may be part of the project cost. The useful question is not, “Which option is cheapest this month?” It is, “What will communication cost when the business changes, and how much disruption will it prevent?”

Flexibility matters when your team is not at one desk

Traditional landlines suit a fixed environment. A call arrives at the office and is answered at the office. There is a certain simplicity to that, but it does not reflect how many businesses now operate.

With VoIP, the main business number can stay consistent whether a colleague is at the office, at home, visiting a customer or covering another site. An office manager can direct calls to the right person without giving out personal mobile numbers. Teams can use hunt groups, auto-attendants, voicemail-to-email and out-of-hours routing to make sure callers are not left at a dead end.

This is particularly useful for businesses with small teams. A garage, charity or professional services firm may not have a full-time receptionist, yet still needs customers and supporters to reach someone quickly. The right call flow can make a small operation feel organised without creating unnecessary administration.

Flexibility needs sensible controls. Staff should know which device is expected to answer calls, how transfers work, and what happens when nobody is available. A cloud phone system is only helpful if callers receive a consistent experience.

Reliability: VoIP depends on planning, not luck

One common concern is that a traditional phone line will work in a power cut while VoIP will not. There is truth in this, but it needs context.

Older analogue lines could often power a basic corded phone from the exchange. VoIP relies on local power for your router, network equipment and handsets, as well as a working internet connection. If the premises lose power and there is no backup, the phones may stop working.

That does not mean VoIP is unreliable. It means continuity must be designed properly. A well-planned VoIP installation can include a battery backup or uninterruptible power supply for key equipment, a backup internet connection such as 4G or 5G, and automatic call forwarding to mobiles if the office connection fails.

Traditional landlines also have limits. A damaged line, local exchange issue or problem at the premises can take phones out of service, and resolving it may depend on an external engineer visit. Neither option makes a business immune from disruption. VoIP gives you more ways to respond, provided the internet and power arrangements are treated as part of the phone system rather than an afterthought.

Call quality comes down to the connection

A properly configured VoIP call should sound clear and natural. Poor quality is usually a network issue, not a fault with VoIP itself. Congested broadband, weak Wi-Fi, outdated routers and poorly configured firewalls can cause delay, crackling or calls cutting out.

Before moving, check the quality and capacity of the connection at each site. It is also worth considering how much cloud backup, video conferencing, guest Wi-Fi and other day-to-day traffic already use the line. Business-grade connectivity, network monitoring and traffic prioritisation can protect call quality when the office is busy.

For staff taking calls on mobiles or home broadband, expectations should be realistic. A mobile app is excellent for continuity and flexibility, but a poor local signal will still be a poor local signal. Giving key users a good headset and a reliable working setup makes a noticeable difference.

Security and compliance should be part of the decision

Phone systems hold more business information than many people realise. Voicemail messages may contain customer details, payment queries, appointment information or internal discussions. Call recordings can be useful for training, quality checks and dispute resolution, but they must be stored and accessed appropriately.

VoIP platforms can provide stronger administrative controls than a basic landline system, including user permissions, multifactor authentication, call recording policies and audit trails. They also bring cyber security responsibilities. Weak passwords, shared logins and poorly protected admin accounts can expose a system to fraud or unauthorised use.

For businesses handling personal or sensitive information, decide in advance who needs access to recordings and voicemails, how long information is retained, and how leavers are removed from the system. The phone platform should fit into the wider IT security approach, rather than sitting outside it.

When a traditional option may still make sense

VoIP is the usual direction of travel, but not every service should be moved without checking the detail. Some alarm systems, lifts, door entry systems, payment terminals, care devices, fax machines and specialist equipment may still depend on older telephone connections or have specific requirements.

A business in an area with very limited broadband or unreliable mobile coverage may also need a more cautious approach. In these cases, the answer may be improved connectivity, a mobile or alternative service, or a carefully planned interim arrangement. Simply plugging critical equipment into a new digital service without testing it is not a continuity plan.

The key is to inventory every device connected to your existing lines. It is common to discover that a line believed to be for a phone is actually supporting an alarm panel, a card machine or a remote monitoring device.

How to choose the right phone system

Start with the way calls work now. Consider how many calls arrive each day, who answers them, whether staff work across sites, and what a missed call costs the business. Then look at the wider technology picture: internet resilience, power backup, cyber security, mobile coverage and the equipment connected to existing lines.

A good provider should explain the options in plain English and test assumptions before recommending a solution. They should also plan number porting carefully, so your existing business numbers move across with as little interruption as possible. Porting can take time, and it should never be left until the last minute.
